Transcript Entry – Using the Transfer (Link to file with pictures)

Transcript Entry – Using the Transfer Building:

 

Concept – Use the transfer building 998 to enter courses into a student’s transcript summary screen. Courses entered do not need to be pre-defined.

Procedure:

  1. Navigate to Student Center > Mark Reporting > Transcript Courses Summary

  2. Choose ADD TRANSFER BUILDING

 

  1. Enter the following fields:

School Year – year the course took place

Building – always 998

Building Name – free text name of the building where the course took place

RC Runs – the rc runs the student took the course- check all that apply

Runs 1-2 = Term 2

Runs 3-4 = Term 3

Runs 5-6 = Term 1 summer school

 

  1. Click SAVE – this takes you to a second screen called Transfer Courses

  2. Type in the following fields from left to right for all courses taken that year:

Course – feel free to make up the number

Description – free text description which will appear on the transcript

Duration – M for regular courses, S for Summer School

Attempted Credit

Earned Credit

Mark for the course - Either SEM 1,SEM 2,or SUM – depending on which semester the course occurred.

GPA flags – If the course is included in each GPA and the level (1 for non-weighted, 2 for weighted)

Subject Areas – graduation requirement code

 

6. Click Save if finished, or New Year Building to add another year for the same student.

Follow up from v2.1 counselor session

1. After School classes give pop-up message when a counselor is changing classes -

Unfortunately, that message is is standard becuase it is meant to warn against that potential conflicts exists for students with courses in more that one building. Since teh after-school courses are in building 810, that message will pop-up and counselors can click OK to move past it.

2. Security for Notes-

Users who want to use Notes need:

a. REG MAINT NOTES - to see the option at all

Make sure they do not have:

a. REG PRIVATE FLDNOTE - to maintain the sensitive notes

b. REG PRIVATE ALL - which includes the FLDNOTE above

3. Scheduling Drop and Add defaults -

Counselors said that they would like to use the v2.1 defaults that set the drop/add prompts based on the number of days a course is added or dropped. Based on the discussion - I updated the Scheduling Configuration (located under Administration > System Setup > Building > Scheduling) ,

so that courses default to ‘No Marks’ if dropped within 20 days and

4. William - Test Score Summary-

There is a screen located under: Student Center > Testing > Test Summary - which displays all scores on one screen. To activate it, go to: Test Score Center > Setup > Test Defintion - choose the specific test - check the Administrator check box, add security resources and click the Display check next to the subtests. I have set up SAT, SATII and the CAHSEE scores as examples.

This has been completed so you should be able to see a summary of any test that a student has. You can click show all and see all test but they will be blank. If you have any questions feel free to enter a help desk request and we will get back to you as soon as we can.

5. Middle Schools requested training for adding transfer building information - let me know if you need my help to follow up with this.

Elementary Office Managers “User Group” 10/27/09: 1-2:30pm

Notes: eSchoolPLUS Elementary Office Managers “User Group”: 10/27/09, 1-2:30pm 

- Medical/Dr. appointments: notes can be made in the Student Note tab: info will stay in the students notes and roll over from year to year.  Medical Notes will also roll over from year to year.  You can indicate sensitive or personal in a checkbox at the bottom of the page and then only those personnel with access to “sensitive” data will be able to view.

- Demographic>Personal: Comments section.  Info will pop up with the yellow triangle to indicate a “caution”.

- Demographic > Addresses: Change of address: if you try to change a student’s address and get an warning message, try this:

  • click on “General” tab and make sure that the “Login ID” box matches the student ID #.

- If the student is coming from Duncan Holbert, just like any other student ,they will get coded “53″.

On the “Personal Information” page: the “Hispanic Code” table has yet to be populated; as soon as it is, Bruce will notify you.  Please leave alone until this time.

 Report Cards: Not integrated with eSP at this time as the eSP system is competency based and the current report card for the elementary level are not in that format.

 - Programs > Instructional Setting > default to “Reg” for regular program.

- Add to Favorite”: go to the screen that you want to add to your favorite (on homepage and on top of folders) and add by clicking on the top right button with the pink heart shape: “Favorites”. To delete a favorite, on the homepage, click on the “Change Settings” at the bottom right of the box.

- Cognos report review: Attendance code > Tardy

- How to get attendance by individual student: Cognos Reports > Attendance View- Detail_Elementary by Student

- How to get attendance by teacher: Cognos > Elementary_Teacher_Attendance: listed by teacher.  * Make sure to “Save As” in an Excel format first, before manipulating, as it will be in Web Page format coming from eSP.

Broken Report: Cognos > attenance reports > summary attendance reports (modified May 26, 2009)

 - If a student is absent for more than 1 day, open the attendance “year view”  and

Student Center > Search > Attendance > Year View > Click in each box for dates to manipulate > Range > enter the absence code in the drop down menu > Save

- To get a perfect attendance report: Attendance Center> Reports > Perfect Attendance:

enter dates (start & end) > Run

  • Review of the purpose for the User Group Meetings:

                         - Collaborate, Share, Communicate, Troubleshoot issues pertaining to the work of Registrar.

  • Introduction of Kevin Tevis: interim eSchoolPLUS support (xt 2890 kevin_tevis@pvusd.net)
  • Printer discussion for “Print the Mailer” for Progress Reports & Report Card printing
  • How to change templates for printing
  • Report Card “views”: a template needs to be uploaded for each.

                       - For RC Run #2: make sure template has mailer & permit info & change to read: “To the Parents of:”

                       - Take “Return Service Requested” off the template for WHS

  •  Mark Reporting Center > Setup > Report Card or IPR Run #2: Bruce will make changes to AHS & WHS templates to reflect changes above.   
  •  Communication: Use the Help Box to track issues/needs, keep organized; alerts all necessary parties, assists with accountability, tracking issues, etc…

                       - How to “log new request”: PVUSD Homepage > Technical Support > Login: first_last, NO password, Request Type: eSchoolPLUS, be as       specific as possible with the details of the “problem”, contact info, etc…

                      - Registering online for User Group & all Staff Dev sessions: www.pvusd.net/staffdev

  • GPA’s & Cal Grant: Have Summer School credits be applied to current year; last graded period in the school year. Case in progress with eSP
  • Class Ranks: will be correct after GPA’s are corrected
  • Adding “Block Courses”
  • Add dates for entire school year for RC Runs & IPR Dates; grade change process
  • Access to Mark Types; change teacher to “view only”

Advanced Search for Contact List in Alpha Order
